Luminator is seeking to fill our full-time Customer Service Agent role to join our growing and dynamic Customer Service team where you will be an integral part of the team by providing valuable input as we work toward assessing and implementing goals and mission of the department and Luminator. This is an opportunity to be part of something new and exciting within Customer Service.

Summary:

Luminator is seeking a Customer Service Agent who is committed to transparency, diversity, teamwork, and the relentless pursuit of excellence. The Customer Service Agent is responsible for providing exemplary customer service by managing incoming customer requests and complaints. Also, the agent collaborates with the various departments to resolve outstanding files. This role will be integral in setting the tone and culture at Luminator.

Essential Duties and Responsibilities:

  • Provide world-class customer service through email, phone and at customers meeting;
  • Daily update customer portals for our orders;
  • Analyze and confirm orders as per committed date;
  • Notify customers of any changes in deliveries;
  • Be the primary contact and build long-term relationships with customers;
  • Issue delivery slips on time to customers (products and services);
  • Raise and manage RMA requests from customers, prepare cost reports and estimates;
  • Coordinate when required between the departments in Canada and Europe (project management, planning, purchasing, etc.) to achieve OTD and or timely return of RMA;
  • Assist in creating quotations for approval by the relevant parties (Supervisor or Sales Rep);
  • Assist in the preparation of Customer Chargeback Reports;
  • Support the projects managers with the customers;
  • Assist when guests arrive to the facility (welcoming, meeting room prep and lunch prep as required);
  • Participate in the implementation of a back-up;
  • Assist with all administrative tasks as requested.

Education/Experience:

  • Three-year work experience in Customer Service or similar position;
  • Proven experience to work in a fast pace environment with high degree of flexibility, accuracy and solution-oriented mindset.

Knowledge, Skills & Abilities:

  • Strong language skills (English, German);
  • Strong MS Office skills;
  • Good communication skills (speaking and writing);
  • Ability to work under pressure;
  • Ability to establish and maintain good relations (externally and internally);
  • Good understanding of ERP processes and order handling within an ERP system;
  • Very service minded (externally and internally).
